About The Position

The Facilities Data Administrator at The Ohio State University is responsible for managing and supporting various systems that collect and disseminate building documentation and space data. This role involves overseeing the Space Information and Management System (SIMS), which includes data on over 1200 buildings and 125,000 spaces. The position requires collaboration with a high-performing team to ensure data accuracy and provide technical support to users, while also driving improvements in processes and systems.

Requirements

  • Bachelor's Degree in Management Information Systems, Health Sciences, Computer Science or relevant field.
  • 2 years of experience with records and information management.
  • Ability to understand data quality and ensure data accuracy.
  • Excellent customer service skills and problem-solving abilities.
  • Strong verbal and written communication skills.
  • Excellent organizational skills and ability to manage multiple projects effectively.
  • 2-4 years of experience with document management systems and scanning technology.
  • Basic understanding of Autodesk AutoCAD and Revit Software.
  • Experience with Autodesk BIM 360 or Autodesk Construction Cloud (ACC).
  • Strong analytical and problem-solving skills.

Nice To Haves

  • Knowledge and experience with Excel.
  • Basic knowledge of data systems, data reporting, and querying.
  • Experience with Tableau or Power BI.
  • Experience with Trimble Unity Construct (eBuilder).
  • Experience with scripting or programming in SQL, python, or other languages.

Responsibilities

  • Manage, administer, and support multiple systems for building documentation and space data.
  • Administer The Ohio State University's Space Information and Management System (SIMS).
  • Maintain and update archive data associated with buildings and projects.
  • Review electronic submittals of record drawings for completed construction projects.
  • Ensure compliance of AutoCAD and Revit drawings with OSU standards.
  • Oversee the scanning process for project drawings and manage large format scanning equipment.
  • Provide analysis and reporting for building information requests from various stakeholders.
  • Develop training materials and provide end-user training and technical support.
  • Manage user access for SIMS and assist in managing space data.
  • Conduct onsite building audits and capture 360° photos of spaces.
  • Enforce OSU space information standards and manage reporting related to space data.
