About The Position

Our Facilities Coordinator provides administrative and coordination support to the facilities department by managing documentation, vendor relationships, scheduling, and data related to facilities operations. This role works closely with outsourced service providers to ensure preventative maintenance, inspections, janitorial services, security administration, and procurement activities are properly coordinated, documented, and compliant.

Requirements

  • 2-3 years related work experience
  • Strong analytical and communication skills
  • Ability to define problems, and resolve them quickly
  • Ability to interact effectively with customers, vendors and employees at all levels of the organization

Responsibilities

  • Coordinate Foley’s preventative maintenance program by tracking contract terms, scopes of work, scheduling vendor services, and documenting vendor recommendations using historical asset data.
  • Coordinate annual inspections including but not limited to cranes, backflows, fire systems, elevators, and roofing systems by scheduling with preferred outsourced vendors and tracking inspection results and follow-up actions.
  • Administer building security processes, including access control requests, camera access coordination, and tracking and assignment of physical keys. Maintain databases to support compliance with Foley’s security standards.
  • Acts as the coordinator for communications between contractors and the business for contract creation, change and review.
  • Oversee janitorial scope of work, including meeting and conference room set ups.
  • Responsible for the set up and onboarding of vendors in the accounting system, including but not limited to ticket set up, gathering documents and ACH set up.
  • Own facilities supply procurement process including janitorial and cleaning supplies, furniture systems, chairs, flags, and employee benefits such as coffee, water and soda.
  • Respond to after-hours facilities-related emergencies.
  • Travel is required for training and/or to assist at other locations.
