The Facilities Coordinator plays a crucial role in ensuring the smooth operation of facility management services. This position involves continuous monitoring of the facility and working closely with property managers to handle routine property management operations. Responsibilities include the procurement of property supplies and services, issuing purchase orders, managing bid requests, and overseeing service and construction contracts. Additionally, the coordinator will process accounts payable and accounts receivable, ensuring that all financial transactions are handled efficiently and accurately. In this role, the Facilities Coordinator will assist the Facility Management Team with tactical planning to achieve the team's goals and objectives. This includes leading financial budget tasks and accounting entries, providing facility-specific assistance to the project management team as needed, and managing small facility management tasks as assigned. The coordinator will also coordinate special events in support of clients or JLL, provide support for meetings and conference room reservations, and assist with the scheduling of maintenance activities. Communication and relationship coordination are key aspects of this position. The Facilities Coordinator will act as an interface with clients, visitors, and guests, ensuring appropriate follow-up and providing direction to vendors, facilities staff, and service providers. Compliance is also a critical component, as the coordinator will administer and maintain all security systems, assist with budgetary requests, and analyze and report on budget variances. The role may also involve other duties and tasks as assigned, making it a dynamic and multifaceted position.
