The Facilities Coordinator plays a crucial role in managing Maintenance and Janitorial Services while supporting the Operations Manager (OM) and Facilities & Project Manager (F&PM) in all operational services for Ladera Ranch Maintenance Corporation (LARMAC). This master-planned community, located in South Orange County, encompasses over 8,000 homes spread across 4,000 acres, featuring landscapes, parks, trails, pools, clubhouses, reservable spaces, a water park, skate park, sports fields, and tennis/pickleball courts. The Facilities Coordinator is responsible for ensuring that the community's facilities are well-maintained and that services are delivered efficiently and effectively. In this role, the Facilities Coordinator will communicate with team members, residents, Board members, committee members, and vendors as needed. They will manage tasks and deadlines using Trello and Outlook, respond to emails and voicemails promptly, and dispatch and monitor work orders for Maintenance and Janitorial Techs. Conducting quality checks and inspections of tasks performed by technicians is essential, as is organizing and tracking work orders from various sources to ensure efficient completion. The Coordinator will also develop and implement processes to streamline work order handling and ensure compliance with LARMAC policies and safety standards. The position may require attending evening LARMAC Board meetings and other mandatory company functions. The Facilities Coordinator will assist the OM and F&PM with administrative tasks and report updates on job responsibilities. Collaboration with co-workers and community partners is vital to adapt support services and facilities as needed. The Coordinator will also coordinate inspections for maintenance and repairs, enforce protocols for team operations, and manage the ordering and storage of supplies and equipment. Other duties may be assigned by management as necessary.
