About The Position

The Facilities Coordinator (FC) role at Regus Management Group, LLC is a remote position responsible for supporting facility maintenance functions across over 1000 locations in North America. The coordinator will work closely with the Director of Facilities to uphold brand standards, manage third-party service providers, and oversee maintenance requests. This position requires strong project management skills, analytical capabilities, and effective communication to ensure operational efficiency and cost control.

Requirements

  • Bachelor's degree in business management, real estate, or construction management preferred.
  • 3-5 years of relevant experience in property management, construction management, or facilities-related roles.
  • Strong background in managing multiple small facility-related projects.
  • Knowledge of commercial real estate, particularly multi-tenant office space.
  • Ability to juggle multiple projects and manage priorities effectively.
  • Analytical thinking and problem-solving skills to improve processes and cost-saving initiatives.
  • Ability to read and interpret office leases regarding tenant maintenance obligations.
  • Proficient communication skills, both verbal and written.
  • Experience with online maintenance ticketing systems and database entry is a plus.
  • Advanced knowledge of PeopleSoft and MS Office, including Excel and PowerPoint.

Nice To Haves

  • Experience with multi-tenant base building systems such as HVAC, plumbing, electrical, and security systems.
  • Ability to negotiate skillfully in tough situations with internal and external groups.
  • Experience in cost estimating, budgeting, and performance measurement.

Responsibilities

  • Support facility maintenance functions for all centers in the North American portfolio.
  • Work closely with the Director of Facilities North America to maintain brand standards.
  • Oversee selected third-party service providers and coordinate scheduled inspections.
  • Approve all facility-related events and manage multiple projects simultaneously.
  • Provide analytical and operational feedback on a daily basis.
  • Develop strict cost control mechanisms for facility expenditures.
  • Coordinate and monitor maintenance service requests to center staff and vendors.
  • Ensure timely resolution of maintenance requests by third-party service providers.
  • Manage the IWGPLC ticketing platform daily.
  • Provide direction and information to vendors and center staff for effective service delivery.
  • Review and understand office lease language related to landlord and tenant responsibilities.
  • Coordinate new third-party vendor relationships and ensure compliance with internal processes.
  • Engage with landlords and property management to resolve lease-related disputes.
  • Collaborate with internal departments to support center staff and maintain brand standards.
  • Assist with special projects, including reporting and asset inventory management.
  • Review and process invoices for payment in a timely manner.
