About The Position

The Facility Coordinator - Lead Office is a leadership position responsible for overseeing facility operations across multiple office locations. This role drives operational excellence by managing a team of Facility Coordinators, ensuring consistent service delivery aligned with IFM COE standards, and serving as a strategic partner in vendor management and work order processes. The position requires a proactive leader who can maintain high-quality facilities services while fostering team development and continuous improvement.

Requirements

  • 5+ years of experience in facilities management, operations, or workplace services
  • Proven leadership experience managing distributed teams
  • Proficiency in CMMS platforms (Corrigo, FM Systems) and Microsoft Office applications
  • Strong organizational, communication, and interpersonal skills
  • Experience in vendor management and service delivery oversight
  • Ability to navigate ambiguity, prioritize effectively, and drive results in dynamic environments
  • Bachelor's degree or equivalent experience in facilities or operations

  • Experience working with IFM COE standards and protocols
  • Knowledge of preventative maintenance scheduling and facility compliance requirements

Responsibilities

  • Supervise and mentor Facility Coordinators across multiple office locations, conducting regular check-ins and performance reviews
  • Monitor SLAs and KPIs to ensure consistent execution of IFM COE service protocols and maintain high service quality
  • Oversee work order lifecycle management using CMMS platforms (Corrigo, FM Systems) and ensure timely resolution of service tickets
  • Manage relationships with third-party service providers and contractors, scheduling preventative maintenance and recurring services
  • Collect and analyze operational data to support client requirements and identify process improvement opportunities
  • Partner with Experience and Workplace teams to elevate employee satisfaction and support strategic initiatives
  • Contribute to the development of playbooks, FAQs, and operational frameworks to ensure consistency across the portfolio
