The Facilities Coordinator is responsible for supporting day-to-day facilities operations through coordination of non-technical projects, vendor services, preventive maintenance activities, small space moves, and general site support. This role supports the San Jose Analog Devices site and other worldwide offices, requires strong organizational, communication, and customer service skills in a fast-paced facilities environment.

Requirements

  • Associate’s Degree (AA or AS) or equivalent combination of education and experience.
  • Demonstrated proficiency in speaking, reading, writing, and understanding English.
  • Strong computer skills with working knowledge of Excel, Word, Smartsheet’s, PowerPoint, Outlook, and SAP.
  • This position requires the ability to perform physical tasks including, but not limited to: Standing and walking for extended periods (up to 8 hours per shift).
  • Bending, stooping, kneeling, climbing stairs and ladders, and reaching above shoulder height.
  • Lifting, carrying, pushing, and pulling materials ranging from 0 to over 35 lbs.
  • Repetitive hand and finger motions for computer and tool use.
  • Adequate vision and hearing to read instructions, operate equipment, detect alarms, and communicate effectively.
  • For positions requiring access to technical data, Analog Devices, Inc. may have to obtain export licensing approval from the U.S. Department of Commerce - Bureau of Industry and Security and/or the U.S. Department of State - Directorate of Defense Trade Controls. As such, applicants for this position – except US Citizens, US Permanent Residents, and protected individuals as defined by 8 U.S.C. 1324b(a)(3) – may have to go through an export licensing review process.

Responsibilities

  • Coordinate site facilities contracts, vendor services, and preventive maintenance (PM) schedules for the Durham site and satellite offices.
  • Support non-technical facilities projects and recurring operational tasks.
  • Prepare punch lists and conduct routine audits of offices, conference rooms, break rooms, and common areas to ensure compliance with corporate standards for furniture, cleanliness, and safety.
  • Coordinate employee office, lab, and cubicle moves, including setup and reconfiguration.
  • Ensure preventative maintenance (PM) compliance for HVAC, CDA systems, building certifications, and permits.
  • Review utilities bills and enter data usage and billing information
  • Support departmental leadership in global acquisitions and laboratory expansion projects and others project as needed.
  • Review and track utilities usage and billing for assigned sites
  • Issue Requests for Proposals (eReq’s) and originate Purchase Requisitions (PRs) to meet internal customer needs.
  • Order parts and materials; track inventory and storage levels.
  • Track expenses, purchase orders (POs), credit card charges, and due dates using Excel, Smartsheet and SAP.
  • Coordinate site surveys, scope drafting, vendor bidding processes, and contract negotiations
  • Interface with internal and external departments to support special requests, events, and site needs.
  • Assist with Facilities service ticket resolution (ServiceNow) and general site support activities.
