Our Facilities and Operations Team provides the vital space, equipment, and infrastructure to build a collaborative environment for the design teams to dream, design, and create. The Facilities Assistant - Project Hire/Internal Assignment will report to the Sr. Manager - Facilities & Operations. This is a Project Hire position without any guarantee of permanent placement.
Requirements
- 2 years or more professional experience in a support or service role in office management
- Ability to work independently
- Passion for customer service
- Experience with MS TEAMS, Outlook, Word, Excel, and PowerPoint
- Highly organized and efficient
- Exceptional verbal and written communication skills
- Strong initiative
- Valid Driver’s License
- Being able to lift 50 lbs
- High school diploma or equivalent required
Responsibilities
- Oversee and maintain the front reception area, ensuring a welcoming and professional atmosphere for visitors and Cast Members
- Serve as the primary liaison for WDI office Cast Members, facilitating effective communication and support
- Manage front desk operations, including promptly answering and directing main phone lines and responding courteously to inquiries from Cast Members, guests, interviewees, and vendors
- Efficiently sort and distribute incoming mail
- Coordinate and schedule conference room bookings, preparing rooms as required
- Assist with sample retention, distribution, and destruction processes
- Manage ordering, receiving, and stocking of office supplies and miscellaneous equipment for the WDI/DCP location(s)
- Oversee building security protocols for WDI/DCP locations, including Cast Member access and clearance policies, as well as office lock and key management
- Submit and track maintenance and custodial service requests
- Assist with space planning updates at WDI/DCP locations as needed
- Other administrative duties as assigned
