About The Position

The Facilities Administrative Assistant will be based out of Yosemite National Park and be responsible for various administrative duties including, but not limited to, ordering, data entry, filing, etc. The successful Administrative Assistant will serve as a point of contact for the Yosemite Facilities Maintenance department for internal teams and external clients (National Park Service), contributing to a positive and organized work environment.

Requirements

  • Bachelor’s degree or equivalent experience required.
  • Proficient in Microsoft Office (Outlook, Word, Excel, PowerPoint)
  • Proficiency in using CMMS platforms for data entry, analysis, and reporting preferred.
  • Excellent interpersonal and communication skills, both verbal and written.
  • Excellent data management skills, including data input, organization, validation, and reconciliation.
  • Attention to detail for accurate data entry and record-keeping in the CMMS.
  • Effective communication and collaboration skills to work with maintenance teams and stakeholders.
  • Ability to manage time effectively and prioritize tasks in a fast-paced environment.
  • Adaptability to learn new systems, tools, and methodologies as technology and maintenance processes evolve.

Responsibilities

  • Provide administrative support to the Maintenance Leadership Team
  • Draft correspondence, reports, and presentations, ensuring accuracy and clarity.
  • Assist in batching and dispatching work orders to facility personnel.
  • Support the processing of weekly payroll including, but not limited to, the tracking of time and attendance, processing time-off requests, and other related payroll activities in accordance with company policy and our on-site collective bargaining agreement(s).
  • Perform clerical tasks in relation to accounting, payroll, receiving, and/or human resources including filing, data entry, record review and maintenance, etc.
  • Maintain organized physical and digital filing systems.
  • Generate POs and maintain the purchasing and inventory system, which may include the following: ordering product, receiving product, and processing invoices, producing reports, etc.
  • Serve as a resource for other departments on matters pertaining to functional area.
  • Plans and manages work and meets deadlines under minimal or no supervision.
  • Maintains technical skill set for basic software languages, databases, platforms, operating systems, utilities, and networks as needed to support work assignments.
  • Assist the Maintenance Managers and Project Managers with additional tasks as needed.
