About The Position

The Facilities Administrative Assistant 3 provides high-level administrative support to the Historic Sites Regional Facilities Manager and broader facilities team. This role ensures smooth day-to-day operations by coordinating communications, managing documentation, tracking maintenance schedules, and supporting project logistics across multiple historic sites. The position plays a key role in maintaining organizational efficiency, supporting stewardship of Church properties, and facilitating timely responses to facilities-related needs. This is a full-time, 3-month temporary position located in Nauvoo, Illinois.

Requirements

  • Two years post high school education.
  • Five or more years of diverse clerical experience or equivalent combination of education and experience.
  • Computer skills including Windows, Microsoft Applications, and Word Perfect.
  • Strong communication skills, including professional phone etiquette and effective business writing.
  • Basic business accounting skills, including understanding invoices, purchase orders, and contracts.
  • Organizational skills including filing, scheduling, time management, and prioritization.
  • Ability to communicate effectively and courteously with all individuals.

Responsibilities

  • Coordinate communications and manage documentation for the facilities team.
  • Track maintenance schedules and support project logistics across multiple historic sites.
  • Prepare purchase requisitions and match invoices to purchase orders.
  • Monitor billed items to ensure approval following established processes.
  • Prepare payment uploads and financial reports.
  • Review purchasing card statements and keep track of materials and services.
  • Communicate frequently with vendors and contractors under the direction of the Facilities Manager.
  • Assist with the establishment of vendors and prepare contracts.
  • Maintain computer databases including CNA, Purchase Orders, Work Orders, and Preventive Maintenance Schedules.
  • Perform clerical duties such as typing correspondence and reports, and taking minutes at meetings.
  • Manage office operations including equipment function, supplies, and administration filing.
