Requirements

  • Bachelor's Degree required.
  • Three (3) years' managing, developing or coordination academic activities or programs, preferably with a focus on adult learners required.
  • One (1) or more years' in student/customer service enrollment or recruitment required.
  • Excellent organization and strong verbal and written communication skills.
  • Skill in using MS Office Suite.
  • Experience with databases and data analysis required.
  • This position requires a background and drug screen at the expense of the college.

Nice To Haves

  • Bachelor's or master's degree in communication, healthcare, business, IT, or education or business-related field preferred.
  • Five (5) academic activities or program, preferably with a focus on adult learners preferred.
  • (Two) or more years' in student/customer service enrollment or recruitment preferred.
  • Specialized knowledge of professional careers and education in healthcare, transportation or business preferred.
  • Experience using customer relationship management (CRM) tools preferred.

Responsibilities

  • The coordinator will support students as they determine eligibility for specialized CE programs and externships, including communicating in-person, on the phone, and by email and providing assistance with registration, financing options, CE scholarship eligibility, externship placement, course evaluation and job placement.
  • This position includes maintaining accurate, up-to-date student and externship site documentation, files and reports, including annual renewal of externship site contracts.
  • Key position in support of student success, customer service and enrollment sales/closure.
  • The Enrollment Coordinator serves as a second level of advising for front-line Registration staff, answering questions that take more time relating to operations (schedule, space, materials, etc.), student finance, career and educational pathways, and students making informed choices that will best serve their immediate and longer range learning plans and needs.
  • The Enrollment Coordinator also supports the sharing of program information with staff and faculty in addition to students, providing daily enrollment data, compiling data in conjunction with Marketing and Programming staff, the Continuing Education Leadership Team and as needed to support unit strategic planning, portfolio management and informed decision making.
  • This position may manage a partial program portfolio and support the Program Coordination team, and program development, budget creation and portfolio management.
  • This position is responsible for analyzing and providing weekly enrollment data in conjunction with Marketing and Programming staff, the Continuing Education Leadership Team and as needed to support unit strategic planning, portfolio management and informed decision making.
  • Support in the identification and acquisition of new externship sites for professional healthcare programs, resulting in new externship affiliation agreements.
  • Assist in matching and placing students in externship sites and processing site documentation and maintaining contact with graduates for placement and employment documentation.
  • Assist in the accurate maintenance of all records related to externship.
  • Provide high-quality, timely service in all interactions with externship sites, community members, potential and current students, business contacts, College faculty, staff, and administrators.
  • Basic support in the development of marketing such as research, writing and proofing for print and digital materials related to CE student enrollment.
  • Support in course and program evaluation process and reporting.
  • Maintain good working relationships with all office staff, instructors and other College employees.
  • Maintain polite, cordial and helpful relationships at all times.
  • Problem solve and make appropriate decisions based on processes and procedures required by the College.
  • Maintain confidentiality of student records and information and file in appropriate place with awareness of and adherence to FERPA guidelines.
  • Process mail-in, phone-in, online and walk-in registrations, withdrawals, add drops, and sponsorships.
  • Process special class registrations, create address labels, generate mailing lists and prepare and distribute rosters as needed.
  • Other related duties as assigned.
  • Knowledge of specialized Continuing Education programs.
  • Conduct periodic and scheduled engagement and follow-up with all students enrolled in professional development programs.
  • Share this data with Dean, Senior Manager and Leadership Team to support continuous improvement of processes and policies as well as to resolve problems and avoid gaps in service.
  • Continuously seek improvement and innovation to program and course offerings and procedures to improve student and staff satisfaction by collecting and analyzing data related to student, internal/external partner, and other stakeholder satisfaction.
  • Resolve unusual situations and complaints requiring managerial judgment beyond that authorized to subordinate managers, program coordinators and administrative assistants.
  • Develop and analyze routine and specialized reports containing both quantitative and qualitative data to assist in analyzing enrollment trends.
  • Support annual budget planning, monitoring and analysis for all Continuing Education program units.
  • Responsible to the Dean, Continuing Education/Extended Learning Division for the overall fiscal success of all assigned areas.
  • Serve as primary support for student inquiries related to program content, student enrollment decision making, student finance and connection to College resources.
  • Provide Program Development Manager, Dean, Senior Manager and Leadership Team with information related to program research and development, program evaluation, student issues and needs, serving as an advocate for, and conduit to students in all programs.
  • Serve as sales expert and student advocate, supporting students in selecting the best enrichment, academic and professional development programs based upon their individual learning and training needs.
  • Communication in-person and by phone or email.
  • Support special events and program operations as necessary.
  • Develop and analyze routine and specialized reports containing both quantitative and qualitative data.
