About The Position

The Hargrove Firm is seeking an experienced Legal Executive Assistant to support the Founding Partner in a hybrid work environment. This role involves managing the executive's calendar, facilitating communication, and assisting with daily operations in a law office focused on high-net-worth estate planning. The ideal candidate will be organized, self-motivated, and possess strong emotional intelligence, with a background in legal administrative support.

Requirements

  • High school diploma required; Associate's or Bachelor's degree preferred.
  • Previous experience in an office setting required; law firm experience preferred.
  • Prior experience working directly with senior leadership (VP, C-Suites) required.
  • 2 years of executive assistant experience required.
  • 2 years of law office experience preferred.
  • Notary certification a plus, not required.
  • Excellent verbal and written communication skills.
  • Ability to manage multiple calendars and inboxes.
  • Computer skills: Zoom, Microsoft Teams, Microsoft Suite.
  • Project management skills: information gathering, monitoring deadlines, communicating cross-functionally.
  • Ability to retain information quickly.
  • Highly organized and proactive; ability to anticipate a need.
  • In-depth understanding of confidentiality.
  • Exceptional emotional intelligence.

Nice To Haves

  • Notary certification.

Responsibilities

  • Maintains Executive's calendar by planning and scheduling conferences, teleconferences, and client meetings.
  • Ensures Executive is prepared for meetings by having client files ready in advance.
  • Maintains client confidence by keeping client/attorney information confidential.
  • Assists and supports lawyers and paralegals with their work as needed.
  • Enhances Executive's effectiveness by providing information-management support and representing the attorney to clients and others.
  • Handles calls and emails from clients and potential clients.
  • Transcribes notes from meetings into memos or planning letters.
  • Reads, researches, reviews, verifies, and routes correspondence, reports, and legal documents.
  • Drafts, revises, and edits letters and other written documents, and collects and analyzes information.
