Haynes Boone is seeking a detail-oriented and tech-savvy Experience Management and Technology Specialist to join our team. This position plays a vital role in managing and maintaining our experience management software, Litera’s Foundation, to track firmwide achievements, including client case experience, content repository, Request for Proposals (RFPs), Request for Information (RFIs), Chambers and other award submissions. The ideal candidate will ensure accurate data management and leverage the software to support business development, marketing initiatives and firm growth.

  • Administer, maintain, and optimize the firm’s experience management software, Foundation, to ensure seamless functionality.
  • Maintain, update, and manage client case data, content repository, RFPs, RFIs, and award submission records within the software.
  • Enhance the experience database by integrating AI and other advanced technologies to automate data capture, identify trends, create dashboards, and improve efficiency through continuous evaluation of emerging legal technologies.
  • Collaborate with attorneys, business development staff, and practice administrators to gather and validate data for accurate tracking within the software.
  • Work closely with Innovation and Knowledge Management (KM) teams to build and maintain KM data trackers within the Foundation platform.
  • Generate reports, tracking portals and analytics from the software to identify trends, support proposal development, and inform strategic decisions.
  • Monitor compliance with data entry guidelines and conduct regular audits to maintain data integrity.
  • Train and support users across the firm in software capabilities and best practices.
  • Stay up to date with software updates and enhancements, implementing improvements to optimize usage.
  • Performs other related duties as needed or assigned.
  • Bachelor’s degree or equivalent experience in business administration, data management, or a related field.
  • Demonstrated experience in managing, preparing, and responding to RFPs and RFIs, including data gathering, submission coordination, and compliance with proposal guidelines.
  • Experience with Chambers submissions, including coordinating and preparing award nominations, tracking deadlines, and ensuring accurate and compelling submissions to enhance firm recognition.
  • Proven experience working with experience management software in a professional services environment, ideally within a law firm.
  • Strong organizational and analytical skills with a keen eye for detail.
  • Proficiency in data management, reporting, and analytics tools.
  • Excellent communication and interpersonal skills to liaise with cross-functional teams.
  • Ability to manage multiple tasks and meet deadlines in a fast-paced environment.
  • Must be able to move around the office up to 15% of the time.
  • Remains stationary at least 85% of the time.
  • This position operates computers and other office productivity machines (e.g., fax machine, copier, printer, etc.) on a regular basis.
  • Occasionally required to move documents or files weighing up to 15 lbs.
  • This position requires constant communication and exchange of information with the firm attorneys, clients and staff.
  • This position must be able to inspect and observe information on a computer screen at least 80% of the time.
  • The employee must specifically be able to detect objects at close range and at a distance, detect color, detect objects using peripheral ability, have depth perception, and the ability to adjust focus.
  • Experience with Litera’s Foundation is a plus, but not required.
