About The Position

The Executive Workflow Manager at the University of Michigan's Taubman College of Architecture and Urban Planning is responsible for supporting the dean by managing complex workflows, prioritizing tasks, and utilizing technology to enhance efficiency. This role requires a proactive individual who can effectively handle day-to-day demands while planning for future activities, ensuring that the dean's agenda is advanced through effective communication and relationship-building.

Requirements

  • Bachelor's degree, master's degree preferred.
  • Demonstrated record of progressively responsible administrative support and project management experience.
  • Advanced proficiency using Google software (email, calendar, Docs, Sheets, Slides, etc.), and interest in mastering emerging technologies.

Responsibilities

  • Effectively manage and prioritize the dean's complex workflow and utilize technology to automate and optimize efforts.
  • Oversee projects and processes that intersect with other areas of responsibility in the college.
  • Identify gaps in processes and make recommendations for improvements; maintain follow-up systems; ensure deadlines are met and materials are received; create reports and follow-up on project outcomes.
  • Initiate correspondence requiring interpretation of procedures; edit documents for organization, structure and style; collect and tabulate data for reports; extract information from resource documents; prepare briefing notes, agendas, meeting minutes, reports and other documents using benchmarking and data visualization.
  • Collaborate closely with the dean's direct reports to keep initiatives moving forward, and develop relationships with other colleagues throughout the university.
  • Handle calendaring/scheduling, draft agendas, assemble background materials to ensure the dean is thoroughly prepared well in advance of meetings, and coordinate logistics including room reservations, audio visual needs, catering.
  • Represent the dean in some correspondence and activities as appropriate, assist at college events, and work effectively with visitors, donors, alumni, faculty and staff.
  • Coordinate travel arrangements for the dean and high-level visitors to the college.
  • Reconcile expenses in a timely manner.
