About The Position

First Merchants Bank is seeking an Executive Support Specialist to join our team! This position provides high-level administrative support to assigned executives and senior managers. This role ensures efficient utilization of executive time, manages confidential and complex requests, and facilitates communication and coordination across internal and external stakeholders.

Requirements

  • High School diploma or equivalent (GED).
  • A minimum of three (3) years of related experience.

Responsibilities

  • Expand executive management’s effectiveness by managing communications, meetings, travel arrangements, accommodations, and commitments.
  • Ensure efficient utilization of executive time and ability to deliver on commitments with internal and external stakeholders.
  • Manage and maintain executive schedules, appointments, and event planning.
  • Respond to and distribute incoming communications on behalf of the executive.
  • Proactively manage highly confidential and complex requests.
  • Prepare and maintain confidential material with sound judgment.
  • Research and resolve matters independently, escalating sensitive issues appropriately.
  • Research and compose documents, including presentations, with limited direction.
  • Prepare and edit correspondence, reports, and other documents accurately.
  • Assist with preparation of management reports, policies, Board materials, and meeting packets.
  • Coordinate and manage monthly, quarterly, and ad hoc meetings.
  • Attend committee meetings, maintain minutes, and follow up on open items.
  • Think strategically and recommend new approaches, policies, and initiatives.
  • Prioritize workload and escalate issues to leadership as needed.
  • Participate in or facilitate special projects and assume project management responsibilities.
  • Liaise with internal staff and serve as primary contact for select external stakeholders.
  • Coordinate procurement of office supplies, equipment, and services.
  • Perform monthly and quarterly reports and reconciliations.
  • Conduct independent research and prepare documents as directed.
  • Plan, attend and facilitate designated management committee meetings.
  • Plan and attend designated company hosted events – both internal and external.
  • Complete and/or validate designated processes and workflows to ensure data integrity and compliance with established policies (to include incentive plan work).
  • Perform general office duties to support the executive team.
