Requirements

  • Associate’s or Bachelor’s degree in business administration, communications, or related field preferred.
  • 3+ years of experience providing administrative or executive support, ideally in a fast-paced environment.
  • Strong organizational and time management skills with the ability to prioritize multiple tasks.
  • Excellent written and verbal communication skills.
  • Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other productivity tools; experience with project management software is a plus.
  • High level of professionalism, discretion, and confidentiality.
  • Strong problem-solving skills with the ability to anticipate executive needs.
  • Detail-oriented and adaptable to changing priorities.

Responsibilities

  • Manage complex calendars, schedule meetings, and coordinate travel arrangements for executives.
  • Prepare and organize materials for meetings, including agendas, presentations, and reports.
  • Draft, proofread, and manage executive correspondence, communications, and documentation.
  • Track action items, follow up on deliverables, and ensure deadlines are met.
  • Assist with research, data collection, and preparation of summaries or briefing documents.
  • Support leadership in managing confidential information with discretion and professionalism.
  • Coordinate cross-departmental communication and serve as a point of contact for executives.
  • Maintain organization of files, records, and office systems for easy retrieval and efficiency.
  • Provide administrative support for strategic initiatives, board meetings, and company events.
  • Handle expense reporting, invoice processing, and other administrative financial tasks as needed.
  • Proactively identify opportunities to improve workflow, efficiency, and executive productivity.
