About The Position

The Executive Program Director, in conjunction with the Director, will determine the strategic plan and programming of The University of Chicago Civic Leadership Academy (CLA). The Executive Program Director will lead all administrative and financial functions (including development and funding), oversee the day-to-day management of CLA, and will be responsible for CLA's recruitment and fellows' support. The Executive Program Director will report to the CLA Director. This position is the primary contact for prospective and current students in the major, as well as faculty, staff, college advisors, and other constituencies within and outside of the University. In addition, the position manages and oversees all the financial, academic, and strategic operations of the major, including student advising, course scheduling, marketing and communications, event planning, budget projections, program development, alumni relations, etc.

Responsibilities

  • Oversees CLA budget, finances, operations, communications, technological infrastructure, marketing, facilities, and day-to-day supervision of staff and student workers.
  • Organization and planning of CLA programs, including support of participating fellows, faculty and speakers, as well as kick-off events and graduation ceremonies.
  • Oversees recruitment and onboarding of CLA cohort, liaising with faculty, global practicum planning and execution.
  • Oversees fundraising, including proposal development for granting agencies and donor prospects, and related outreach activities.
  • Develops partnership relationships with related administrative units of the University and external partners.
  • Plans, prepares, and disseminates information designed to keep internal and external audiences informed of CLA programs and accomplishments.
  • Manages employees by establishing annual performance goals, allocating resources, assessing annual performance, and determining individual merit, incentive and/or promotional increases.
  • Manages program operations and administrative functions which may include planning and scheduling, program evaluation, policy implementation, personnel administration, budget, marketing, fundraising and proposal development.
  • Manages the dissemination, interpretation and application of program policies and recommends or makes exceptions.
  • Contributes to design of program content, policies and strategic planning efforts.
  • Provides specialized professional expertise in program management.
  • Implements plans for educational programs and initiatives and acts as a liaison between the program and program participants.
  • Oversees financial operations, including budget preparation and spending projections, procurement reimbursement, and payment.
  • Coordinates faculty meetings and manages meeting schedules.
  • Evaluates the program's staffing needs and coordinates hiring for full time assistant, student clerical workers, graduate students, teaching assistants, and academic staff.
  • Supervises a full-time assistant and part-time program interns.
  • Functions as the program's liaison to the Social Sciences Collegiate Division and other University units and college offices.
  • Oversees the management of the Public Policy Undergraduate Program website and social media campaigns.
  • Oversees the curriculum management process and maintains the Public Policy course catalog and schedules.
  • Engages with faculty, the Harris registrar, and other departments to accommodate classroom preferences and manages cross-listings.
  • Prepares reports on program enrollment, teaching, course offerings and other relevant metrics in support of accreditation processes, curriculum review, and other internal/external requests.
  • Provides administrative support for the Faculty Director and Executive Director and others teaching in the program.
  • Conducts advising meetings with students and assists in academic planning, intervening appropriately as needed.
  • Serves as faculty's first point of contact for students of concern and works with the College Dean of Student office to address disciplinary issues and other concerns.
  • Manages the administration of the BA capstone and student petitions.
  • Assists the faculty lead in the thesis evaluation process, undergraduate awards, and prize competitions.
  • Manages all program events, including social hours, the annual symposium, faculty lunch and learns, student panels, graduation events, and other gatherings.
  • Coordinates the selection process and planning for the PBPL Student Advisory Board.
  • Manages student life collaborations with Harris Student Organizations including the mentoring program and co-sponsored events.
  • Oversees alumni engagement via LinkedIn alumni group, Facebook page, alumni panels, social media highlights, etc.
  • Plans and develops program objectives and/or content.
  • Researches and identifies trends and needs and establishes program directions accordingly.
  • Develops and administers program budgets and recommends or makes budgetary recommendations.
  • Serves as a key resource for program information.
  • Resolves problems or questions referred by program staff, University administrators, or other contingencies.
