About The Position

We are seeking a highly experienced, proactive Executive Personal Assistant to support a senior executive in a fast-paced, high-performance environment. This role is for someone who thinks several steps ahead, protects time, filters priorities, and operates with the highest level of discretion and precision. You are not just managing calendars and emails — you are managing priorities, decision flow, and the executive’s mental bandwidth.

Requirements

  • Highly experienced Executive Personal Assistant with a proven track record supporting senior leaders or C-level executives
  • Exceptionally organized, detail-driven, and able to manage multiple priorities in a fast-paced environment
  • Proactive and anticipatory, thinking several steps ahead and solving problems before they escalate
  • Discreet, trustworthy, and comfortable handling highly confidential information
  • Strong communicator with high emotional intelligence and professional presence
  • Able to work independently with minimal direction while maintaining absolute reliability
  • Calm under pressure, adaptable to changing priorities, and solutions-oriented
  • Technically proficient with modern productivity tools (Google Workspace, Microsoft Office, calendar systems, communication platforms, task management tools)
  • Comfortable working flexible hours, including evenings and occasional late nights, as required to support executive schedules
  • Takes pride in creating structure, clarity, and efficiency for senior leadership
  • Operates with a service mindset while functioning as a true business partner, not just administrative support
  • 7+ years of experience supporting C-level, Founder, or senior executives
  • Exceptional organizational, communication, and time-management skills
  • Experience managing complex calendars, travel, and confidential information
  • Strong written and verbal communication
  • High level of professionalism, judgment, and discretion
  • Ability to thrive in a fast-paced, high-expectation environment

Responsibilities

  • Serve as the executive’s strategic gatekeeper, managing complex calendars, inbox, meetings, and communications with absolute prioritization
  • Anticipate needs before they arise and resolve issues independently
  • Coordinate complex scheduling across time zones, travel, and high-level stakeholders
  • Prepare meeting materials, briefs, follow-ups, and track execution of action items
  • Handle highly confidential information with discretion and professionalism
  • Manage both professional and personal logistics seamlessly
  • Liaise with internal leaders, clients, board members, and external partners
  • Create and maintain systems and processes to improve efficiency and organization
  • Act as a trusted right hand, ensuring the executive can operate at the highest level
  • Provide availability and support beyond standard business hours when required, in alignment with executive schedules and business priorities
