About The Position

The Executive & Operations Manager at the National Psoriasis Foundation will provide comprehensive operational support to the Executive Team, overseeing various administrative activities and daily office operations. This role requires effective communication with the President/CEO and CFO, management of board-related tasks, and ensuring efficient office management. The position is fully on-site in Alexandria, VA, with potential for a hybrid schedule after 90 days.

Requirements

  • Bachelor's degree or equivalent experience.
  • Minimum of 2-3 years of experience in financial or administrative support roles.
  • Self-driven, motivated, and willing to learn new skills.
  • Ability to manage multiple responsibilities and projects simultaneously.
  • Capability to streamline processes and implement organizational systems.
  • Basic understanding of material handling (shipping, receiving, inventory control).
  • Strong data analytical, organizational, and time management skills.
  • Excellent written and verbal communication skills.
  • Ability to communicate effectively with a variety of audiences.
  • Resourcefulness in finding solutions and making sound decisions independently.
  • Flexibility to handle unexpected tasks and last-minute requests.
  • Discretion and ability to maintain confidentiality.
  • Proficiency with Microsoft Office products; experience with Blackbaud Raiser's Edge and SAP Concur preferred.

  • Experience with Blackbaud Raiser's Edge constituent management software.
  • Experience with SAP Concur.

Responsibilities

  • Provide core support to the Executive Team and oversee administrative support activities.
  • Manage daily office operations and direct shipping activities.
  • Communicate effectively with the President/CEO and CFO to discuss urgent issues and resolve conflicts.
  • Organize and maintain the organizational calendar.
  • Support the President/CEO in managing monthly expense reports and financial tasks.
  • Serve as staff liaison for board communications, overseeing correspondence and meeting materials.
  • Record, finalize, and distribute board meeting minutes.
  • Manage scheduling and logistics for board meetings, including travel arrangements.
  • Oversee procurement and inventory of office supplies and equipment.
  • Lead the billing process, generating and distributing invoices to partners.
  • Develop and administer Concur training sessions for staff.
  • Approve and process corporate credit card expense reports.
  • Support the Junior Database Administrator in processing gifts and transactional data.
  • Prepare and mail gift acknowledgment letters to donors.
