Galveston Area Ambulance Authority (GAAA) is seeking a highly organized and business-minded Executive Operations Coordinator – EMS to serve as a key partner to EMS leadership. This role is ideal for someone who thrives in fast-paced environments, is highly skilled in business finances, enjoys keeping leaders and teams aligned, and can confidently coordinate operational and business functions that keep an EMS system running smoothly. If you love being the person who “makes it all work,” this role offers the chance to support emergency services that protect our entire community. As part of the Galveston County Health District, GAAA provides 911 emergency medical services throughout Galveston County. Our mission is to protect and promote the One Health of our community, and that requires strong operational support behind the scenes to keep our EMS teams ready to serve.

Requirements

  • 6+ years of experience in executive support, operations, healthcare administration, or business coordination
  • Strong organizational and time-management skills
  • Expert working with financial information, invoices, and reports
  • High level of professionalism and discretion
  • Excellent written and verbal communication skills
  • Strong Microsoft Office skills (Outlook, Excel, Word, PowerPoint)
  • Ability to manage multiple priorities independently
  • Valid Texas driver’s license or ability to obtain one

Responsibilities

  • Manage schedules, calendars, and priorities for EMS leadership
  • Coordinate meetings, logistics, and follow-ups to keep initiatives on track
  • Prepare reports, assist with presentations, and professional communications
  • Help maintain organization and accountability across leadership workflows
  • Track projects, deadlines, and operational priorities
  • Assist with monitoring budgets, invoices, and reimbursements
  • Support operational reporting and administrative processes
  • Help elevate professionalism and follow-through across the division
  • Serve as the primary liaison with EMS billing and collections vendors
  • Coordinate documentation and information needed for billing processes
  • Review reports and flag discrepancies or trends for leadership
  • Help ensure timely communication and resolution of billing issues
