Executive Operations Assistant (Healthcare or startup experience is required.) Be the Force Multiplier Behind a Mission That Matters. We’re looking for someone rare: an Executive Operations Assistant who operates like a mini Chief of Staff. Someone who frees leadership from the noise, organizes chaos into clarity, and keeps the business moving at the speed we need.   • Executive & Operational Support
  • Act as a direct extension of the leadership team
  • Remove friction from the day-to-day so leaders can focus on growth
  • Own calendars, task management, follow-ups, and information flow
  • Turn verbal ideas into structured action plans, docs, or workflows
  • Customer & Provider Support Oversight
  • Monitor support channels and ensure fast, clear, human responses
  • Identify recurring issues → propose and implement solutions
  • Maintain internal SOPs and improve them as systems evolve
  • Ensure nothing falls through the cracks for families or providers
  • Systems, Process & Documentation
  • Create and maintain SOPs, checklists, templates, and knowledge bases
  • Build repeatable processes across admin, intake, ops, HR, and support
  • Spot inefficiencies and independently fix them
  • Bring order, clarity, and standardization to fast-moving teams
  • Research, Projects & “Figure It Out” Work
  • Handle one-off research (vendors, tools, regulations, best practices)
  • Stand up small projects from 0→1 and hand them off once working
  • Liaise with external partners, vendors, payers, and stakeholders
  • Be the “I’ll take this and get it done” person on cross-functional gaps
  • Communication & Coordination
  • Draft clear internal/external communications (emails, updates, docs)
  • Manage follow-ups with leadership, clinical, operations, and recruiting
  • Keep teams aligned when priorities shift
  • Make sure information flows cleanly, quickly, and accurately
  • 2–5 years in a fast-paced admin, ops, project coordinator, or chief-of-staff style role
  • (Healthcare or startup experience is required.)
