About The Position

The Executive Operations and Community Impact Director is a high-trust, high-impact role that blends executive-level operational support with ownership of J29’s culture, philanthropy, and community engagement strategy. This individual serves as a strategic partner to the CEO—ensuring priorities, initiatives, and communications move forward seamlessly—while also acting as the steward of J29’s mission, values, and “blessing others” philosophy across the organization. The role requires exceptional discretion, organization, and initiative, paired with creativity, and a heart for service. Occasional travel may be required to support leadership meetings, training, events, or community initiatives.

Nice To Haves

  • Bachelor’s degree in Business Administration, Communications, Human Resources, Nonprofit Management, or related field preferred but not required.
  • Prior experience in executive operations, executive assistant, chief of staff, or senior administrative roles strongly preferred.
  • Experience in employee engagement, nonprofit coordination, training, or community relations.

Responsibilities

  • Serve as a trusted operational partner to the CEO, managing priorities and schedule
  • Proactively manage the CEO’s calendar, including preparation materials, follow-ups, action items, and deadlines.
  • Draft, review, and organize executive communications as needed, presentations, talking points, and internal messaging.
  • Act as a liaison between the CEO and internal/external stakeholders with professionalism and discretion.
  • Handle highly sensitive and confidential information with the utmost integrity.
  • Build and maintain strong relationships with nonprofit and community partners aligned with J29’s mission.
  • Design and coordinate employee volunteer and community engagement opportunities.
  • Manage J29’s philanthropic initiatives, including donations, sponsorships, employee giving, and volunteer programs.
  • Track participation metrics and report on J29’s overall community impact.
  • Ensure philanthropic efforts are intentional, organized, and aligned with company values.
  • Manage day-to-day office needs, even when the office is lightly staffed or empty.
  • Order food and supplies for in-office meetings and events.
  • Receive, distribute, and ship packages; coordinate shipments and mailings.
  • Oversee new hire welcome kits and ensure timely preparation and shipment.
  • Monitor inventory and proactively reorder marketing materials (e.g., water bottles, notepads, branded items).
  • Ensure the kitchen and common areas are stocked, organized, and presentable.
  • Coordinate office cleaning services and maintenance vendors.
  • Manage key fob issuance and access coordination.
  • Welcome and assist guests, vendors, and service providers
  • Serve as the primary point of contact for J29’s main 1-888 phone line, professionally answering and routing calls.
  • Provide administrative and logistical support for events J29 sponsors, attends, speaks at, or hosts.
  • Coordinate event setup and teardown support when required.
  • Manage event registrations, payments, and invoicing.
  • Provide company bios, logos, marketing materials, and required documentation to event organizers.
  • Support scheduling, travel coordination, and calendar management related to events.
  • Serve as the administrative backbone for community, industry, and speaking engagements, ensuring all details are handled smoothly and professionally.
