We’re looking for a highly organized, discreet, and proactive Executive Assistant to support our CEO and executive leadership team. This role is central to keeping executive operations running smoothly, coordinating Board of Directors activities, and helping maintain a well-managed, professional office environment. If you thrive in a fast-paced setting, love managing details before anyone else even sees them, and can shift between executive support, board coordination, and office administration with ease, this could be a great fit.

Requirements

  • Associate’s Degree (A.A.) or equivalent from a two-year college or technical school OR 6 months to 1 year of related experience/training OR An equivalent combination of education and experience
  • Strong organizational and prioritization skills
  • Excellent written and verbal communication
  • Professional presence and ability to interact with senior leaders and board members
  • High level of discretion and integrity with confidential information
  • Comfort juggling multiple priorities and shifting deadlines

Responsibilities

  • Manage the CEO’s calendar, travel arrangements, and communications
  • Prepare executive-level reports, presentations, and meeting materials
  • Handle confidential information with discretion and professionalism
  • Assist with strategic initiatives and special projects as directed by the CEO
  • Provide general administrative support to the executive leadership team
  • Organize Board scheduling, travel arrangements, ground transportation, meeting logistics, and meal arrangements
  • Prepare and coordinate Board meeting materials
  • Support office space planning and coordinate facility equipment needs and improvements with Facilities
  • Oversee daily office operations and ensure smooth functioning of the reception area as the primary point of contact for logistical/facility needs
  • Provide event planning and support for meetings and staff events
  • Perform other duties as assigned
