You and Your Job As a successful Executive Assistant you will provide dedicated support to the Head of Wholesale Banking North America and other New York based Executive Team members. You will play a critical role in ensuring the New York based Wholesale Banking business operates seamlessly, with a focus on anticipating needs, driving efficiency, and maintaining a positive and professional environment. The Executive Assistant will thrive in a fast-paced environment, and bring energy, discretion, and excellent judgment to every interaction. This role combines high-level executive support with broader office and event coordination responsibilities.

Requirements

  • Bachelor's degree in Business Administration, Finance, Communications or related field or equivalent experience
  • 5+ years of relevant experience supporting senior executives, ideally within financial services or another fast-paced, global organization
  • Exceptional organizational and time management skills with proven ability to manage multiple priorities
  • Strong interpersonal skills and the ability to build relationships across all levels of the organization
  • Solutions-oriented mindset, with a track record of handling unexpected issues calmly and effectively
  • Polished written and verbal communication skills
  • Advanced in Microsoft Office tools

Responsibilities

  • Provide comprehensive administrative support, including managing complex calendars, scheduling meetings, coordinating travel for all senior Wholesale Banking leaders in NY, and preparing briefing materials
  • Act as gatekeeper and first point of contact for internal and external stakeholders; represent the Wholesale Banking NY team with professionalism, discretion, and warmth
  • Anticipate needs and proactively manage shifting priorities, ensuring deadlines are met and the Head of Wholesale Banking North America is well-prepared
  • Coordinate and support executive leadership team meetings including logistics and follow-up action items
  • Handle confidential information with the utmost discretion.
  • Partner with the Head of Wholesale Banking North America and other senior leaders to ensure smooth flow of information and alignment across priorities
  • Manage and welcome external visitors to the New York office, ensuring a professional and hospitable experience
  • Support client and internal events, including coordinating catering, logistics, and meeting materials, and Wholesale Banking team events
  • Oversee general office support tasks for the New York Wholesale Banking staff, such as ordering supplies, arranging meals, and coordinating with building services and troubleshooting IT and Facilities issues as needed
  • Track expenses and process reimbursements in a timely and accurate manner
  • Assist with onboarding and integration of new team members, offboarding, and terminations when required
  • Coordinate vendor invoice payment, vendor on-boarding, and sponsorships for the Wholesale Banking domain
