About The Position

The Executive Director of the All-City Children’s Chorus provides organizational, logistical, and administrative leadership for the Cheyenne All-City Children’s Chorus program. This position is responsible for coordinating rehearsals, concerts, auditions, tours, fundraising, registration, facilities use, communications, board activities, and special events. The role also involves supporting artistic staff and students, and maintaining records, schedules, materials, and systems to ensure effective program operations in compliance with district procedures and organizational expectations.

  • Must be able to obtain a substitute certificate through the Wyoming Professional Teaching Standards Board (PTSB).
  • Valid Driver’s License is required.

Nice To Haves

  • Eligible to hold a Wyoming teaching certificate in Music K-12 or other state similar license.
  • Education background in a Choral emphasis or Kodaly pedagogy.
  • Equivalent combinations of education and experience that provide the required knowledge, skills, and abilities may be considered.

Responsibilities

  • Attends Lyric Choir and Concert Choir rehearsals; assists with rehearsals and prepares rehearsal spaces.
  • Creates and maintains email contact lists, written communications, calendars, and documents using Rallyhood and email systems.
  • Assembles annual schedules for rehearsals, concerts, meetings, facilities use, sing-a-thons, tours, and camps; coordinates reservations with the Fine Arts Secretary and external venues.
  • Coordinates publicity efforts, including providing information for posters, advertisements, concert programs, website updates, and media contacts.
  • Prepares, proofs, and submits concert programs for district printing and coordinates concert logistics with venues, instrumentalists, and staff.
  • Works with directors to determine annual repertoire needs and compiles music orders.
  • Plans and executes logistics for final rehearsals, concerts, and special performances.
  • Coordinates eighth-grade graduation and recognition activities, including scheduling, invitations, catering, awards, and event logistics.
  • Organizes concert tours and school outreach performances, including scheduling, transportation, and coordination with schools or tour organizations.
  • Coordinates Third Grade Choir operations, including staffing contacts, recruitment materials, and rehearsal support.
  • Prepares agendas and minutes for Board of Directors meetings and agendas for Parent Board meetings; meets with committee chairs as needed.
  • Prepares student scoring materials; tracks attendance, participation, fundraising activities, and award eligibility; tallies scores and prepares recognition letters.
  • Develops and distributes registration packets; coordinates tuition collection; follows up with families as needed.
  • Organizes audition and tryout processes, including creating materials, scheduling, coordinating distribution, attending auditions, and communicating with families.
  • Purchases, distributes, and maintains choir materials and equipment, including folders, bags, uniforms, pins, bars, and technology.
  • Coordinates formal choir photography sessions and distributes ordering materials.
  • Coordinates virtual rehearsals when requested and ensures iPads and related equipment are prepared.
  • Plans, staffs, supplies, and supervises the Summer Music Fundamentals Camp.
  • Coordinates general and individual fundraising activities, including advertising campaigns, grants, donation materials, sing-a-thons, and product fundraisers.
  • Photographs special events for use in communications and promotional materials.
  • Performs duties during evenings, weekends, and summer periods as required to support program operations.
  • Performs other related duties as assigned for the purpose of ensuring the efficient operation of the All-City Children’s Chorus program.
