We are seeking a highly organized and proactive Executive Assistant to support the leadership team of our family-owned and operated property management company. Requirements

  • Minimum of 3 years of experience in an administrative support or office assistant role (required)
  • Minimum of 3 years of experience in property management (preferred)
  • Experience drafting legal documents (preferred)
  • Strong employment history with a record of long-term tenure in previous roles
  • High school diploma or equivalent (required); associate’s or bachelor’s degree (preferred)
  • Exceptional attention to detail, particularly in typing and proofreading written materials
  • Excellent organizational skills with the ability to manage multiple priorities and meet deadlines
  • Professional communication skills, both written and verbal, with a clear and confident phone presence
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)

Responsibilities

  • Provide high-level administrative support to the Vice President overseeing contracts, interior design, the Dallas market, construction, and additional company initiatives
  • Coordinate and manage travel arrangements for all executives, including flights, accommodations, and itineraries
  • Handle phone coverage, correspondence, filing, and data entry with accuracy and confidentiality
  • Communicate and negotiate with vendors as needed to support executive operations
  • Collaborate with the owner’s personal secretaries to ensure smooth day-to-day operations within the executive office
  • Assist with special projects and other administrative tasks as assigned
