About The Position

We are seeking a highly organized, proactive, and detail-oriented Executive Assistant to directly support the Office of the CEO and executive leadership, while also managing the daily operations of the corporate office. This dual-role position blends high-level administrative support with office management responsibilities and requires a confident, resourceful professional who thrives in a fast-paced, dynamic environment. This role is critical to ensuring the CEO’s time, priorities, and communications are managed with the utmost efficiency and professionalism, while also contributing to a well-run and welcoming office environment.

Requirements

  • 3+ years of experience in an administrative or office management role, preferably supporting the office of the CEO
  • Experience interacting with C-suite executives strongly preferred
  • Exceptional communication and interpersonal skills
  • Demonstrated ability to work in a fast-paced, high-pressure environment
  • Outstanding organizational and time management skills with a keen attention to detail
  • Ability to handle multiple priorities independently and effectively
  • Proficient in Microsoft Office Suite
  • Proven discretion and professionalism in handling confidential information

Responsibilities

  • Provide direct administrative support to the CEO and other executive leaders as needed
  • Manage sensitive matters with a high level of confidentiality and discretion, particularly those impacting company operations or executive-level decision-making
  • Serve as a gatekeeper for inquiries, proactively managing communications and ensuring timely follow-up
  • Collect, organize, and prepare materials and data for executive meetings and presentations
  • Draft, review, and edit documents, reports, and correspondence on behalf of the CEO
  • Maintain effective filing systems and ensure key documents are easily accessible
  • Support leadership with special projects, research, and ad hoc administrative tasks
  • Anticipate the needs of the CEO and act as a strategic partner to ensure priorities are addressed
  • Oversee daily office operations, ensuring a clean, professional, and efficient work environment
  • Manage inventory and ordering of office supplies and equipment
  • Screen incoming calls, route inquiries appropriately, and deliver accurate messages
  • Coordinate internal office events and support executive-level meetings, including those for the CEO and CFO
  • Liaise with building maintenance and collaborate with the Facilities Director to address office needs
  • Ensure functionality and upkeep of shared spaces (e.g., kitchen, supply areas, conference rooms)
  • Build strong working relationships with leadership, staff, and external partners to ensure smooth day-to-day operations
