About The Position

This position reports to the Executive Director, U.S. Pricing and Reimbursement Operations. The department provides pricing and contract administration, order-to-cash, government contracting, government price reporting and rebate processing services to the U.S. Pharmaceuticals business. Provide superior administrative and project coordination support to Executive Director and team members based in Princeton Pike, Tampa, and Madison.

Requirements

  • High school diploma, BS degree preferred and/or advanced technical training
  • Minimum 5 years administrative experience with significant experience in office administration for executive level management
  • Excellent verbal and written communication skills
  • Strong proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and Concur
  • Works both independently and with management staff to prioritize multiple tasks and manage ambiguity to meet or exceed project deadlines
  • Strong organizational skills and exceptional attention to detail
  • Deep understanding of BMS policies and procedures

Responsibilities

  • Coordinate meeting logistics including meeting scheduling, reserving location, preparation of meeting materials and coordination of video conferences and teleconferences
  • Manage scheduling of monthly and quarterly pricing certification meetings
  • Assist with coordination of federal and state pricing submissions
  • Manage calendar and travel arrangements of Executive Director and direct reports
  • Coordinate interview and meeting schedules between candidates and hiring managers
  • Handle confidential information in an appropriate manner and with discretion
  • Draft, proofread and refine management presentations and communications
  • Design and implement office processes and systems
  • Manage flow of information by showing good judgment around looping in appropriate functional stakeholders and escalating issues
  • Manage T&E completion and budget tracking
  • Lead onboarding and offboarding of consultants supporting the team
  • Other ad hoc responsibilities as assigned including researching questions related to BMS SOPs to ensure the team follows BMS Processes and Procedures
