About The Position

The Executive Assistant at Getinge in Wayne, NJ, plays a crucial role in providing comprehensive administrative support to the Head of the Cardiovascular Surgery business. This position is designed for a highly organized individual who can manage multiple priorities, communicate effectively, and understand the business environment. The Executive Assistant will ensure the efficient operation of the executive's office, enhancing the productivity of the leadership team.

Requirements

  • Bachelor's degree in Business Administration or a related field preferred.
  • Minimum 8+ years prior executive/administrative experience.
  • Must have knowledge of MS Office - Microsoft Word, Excel, PowerPoint, Outlook.

Responsibilities

  • Manage the executive's calendar, scheduling meetings and appointments, and coordinating travel arrangements.
  • Ensure effective time management and prioritization of tasks.
  • Act as the primary point of contact between the leader and stakeholders.
  • Prepare and manage correspondence, reports, and presentations, ensuring clarity and professionalism.
  • Organize and prepare materials for meetings, including agendas, minutes, and follow-up actions.
  • Ensure all logistical arrangements are in place for both in-person and virtual meetings.
  • Support special projects and initiatives by coordinating timelines, tracking deliverables, and facilitating communication among team members.
  • Handle sensitive information with utmost confidentiality and professionalism.
  • Work closely with other administrative professionals and departments to ensure seamless operations and effective communication.
  • Perform general administrative duties including preparing confidential memos and letters.
  • Coordinate meetings and town hall events.
  • Process expense reports.
  • Establish and maintain files.
  • Schedule and coordinate travel arrangements.
  • Create, format, and customize PowerPoint presentations, Excel spreadsheets, and Word documents, ensuring finished products are error-free, visually clear, consistently formatted, and brand compliant.
  • Attend internal staff and project meetings along with Senior Leadership, including meeting agenda preparation, follow-up on assigned deliverables, and taking notes.
  • Maintain Cardiovascular Surgery distribution lists.
  • Manage the execution of Cardiovascular Surgery legal documents and maintain a depository of all fully executed agreements.
