About The Position

We are seeking an experienced Executive Assistant to provide high-level administrative and organizational support for our client. This role serves as the principal point of contact and liaison, ensuring seamless operations, managing sensitive communications, and coordinating schedules and activities. The Executive Assistant must demonstrate professionalism, discretion, and the ability to thrive in a fast-paced environment while supporting mission-critical work.

Requirements

  • Minimum of five (5) years of executive assistant experience, or a bachelor's degree.
  • Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Teams) and Adobe Acrobat Pro.
  • Prior experience with Concur Government Travel system highly preferred.
  • Excellent written and verbal communication skills with strong attention to detail.
  • Proven ability to prioritize, manage multiple projects, and resolve problems proactively.
  • Strong research and organizational skills.
  • Ability to maintain confidentiality and handle sensitive matters with discretion.

Responsibilities

  • Serve as the primary point of contact for senior executives, handling confidential and sensitive matters with discretion.
  • Maintain professional relationships with internal staff, external partners, and government agencies.
  • Receive visitors, manage inquiries, and assist with office events such as luncheons, award ceremonies, and staff gatherings.
  • Represent leadership with a polished, professional demeanor as front-line support.
  • Monitor executive email and respond to meeting and appointment requests.
  • Coordinate complex calendars, ensuring alignment across multiple executives.
  • Provide daily reminders and maintain awareness of upcoming appointments and deadlines.
  • Answer incoming calls and route appropriately.
  • Draft, review, and prepare responses to correspondence, ensuring accuracy and adherence to office procedures.
  • Convey urgent communications requiring immediate executive attention.
  • Arrange travel logistics, including reservations, agendas, briefing materials, and authorization/voucher preparation.
  • Support international travel requirements, including visas and inoculation appointments.
  • Manage expense reimbursements, per diem calculations, and local transportation arrangements.
  • Maintain and organize executive files, ensuring accuracy, security, and compliance.
  • Retrieve documents and conduct research as needed.
  • Archive and dispose of files in accordance with established requirements.
  • Other duties as assigned.
