About The Position

The Executive Assistant to the City Manager provides high-level administrative support to the City Manager and various departments within the City Administration. This role requires excellent interpersonal skills, confidentiality, and the ability to manage a wide range of administrative tasks efficiently. The Executive Assistant will be responsible for maintaining the City Manager's calendar, preparing reports, managing budgets, and providing exceptional customer service to both internal and external stakeholders.

Requirements

  • Associate's degree or equivalent from a two-year college or technical school.
  • At least two (2) years of experience in a position utilizing the required skills for this position.
  • Valid Washington State Driver's License and maintain an insurable driving record.
  • First Aid/CPR certification, or ability to obtain within six (6) months.
  • Notary Public, or ability to obtain within six (6) months.

Nice To Haves

  • Bachelor's degree in Business/Business Administration, Public Administration, or similar field.
  • Five (5) or more years as an Executive Assistant in a similar environment/role.
  • Prior employment with a public entity.
  • Bilingual (English/Spanish)

Responsibilities

  • Provide high-level administrative support to the City Manager and City Administration.
  • Maintain the City Manager's calendar and perform research using diverse sources.
  • Process and organize complex information, providing reports and recommendations.
  • Review and proofread documents as requested by the City Manager.
  • Prepare and compose correspondence and reports for the Manager's and Mayor's signature.
  • Prioritize and complete assignments from the City Manager, Council, and other departments.
  • Distribute information using independent judgment and discretion.
  • Attend City Council evening meetings and provide follow-up reports on Council actions.
  • Assist in coordinating logistics for public forums and open houses.
  • Monitor progress of projects and maintain contact with participants.
  • Assist in scheduling, preparation, coordination, and distribution of City Council agendas.
  • Make travel arrangements for the City Manager and Councilmembers.
  • Assist in budget preparation and analyze monthly budget summaries.
  • Order supplies and manage accounts payable for the City Manager and City Council.
  • Process payroll for City Administration and other divisions as assigned.
  • Serve as the Records Administrator for the Admin Office, managing records and contracts.
  • Provide excellent customer service to the public and city employees.
  • Manage appointment processes for City Advisory Boards, Commissions, and Committees.
