About The Position

The Executive Assistant at Fred Hutchinson Cancer Center plays a crucial role in supporting the Assistant Vice President by managing schedules, coordinating activities, and facilitating communication. Requirements

  • AA/AS or relevant equivalent experience required.
  • 2-4 years progressively complex administration experience.
  • Excellent written, verbal, and interpersonal communication skills.
  • Ability to work independently and prioritize effectively in a deadline-driven environment.
  • Demonstrated success in a fast-paced, dynamic environment.
  • Strong technical aptitude and ability to learn new systems quickly.
  • Proficiency in Microsoft Office products (Word, Excel, PowerPoint, etc.).
  • Experience with calendar management and scheduling.

Nice To Haves

  • 4-6 years of related experience.
  • Administrative experience in an academic or medical environment.
  • Experience in preparing meeting agendas and taking minutes.
  • Familiarity with The Joint Commission and other healthcare regulatory bodies.
  • Advanced Microsoft Office skills.
  • Experience with Concur, Workday, and PeopleSoft FMS.

Responsibilities

  • Provide executive/administrative support including complex calendar management and scheduling.
  • Prepare for meetings with detailed meeting prep and travel arrangements.
  • Facilitate internal communication on behalf of the VP.
  • Support team activities including training and onboarding new staff.
  • Manage knowledge systems such as SharePoint and other internal tools.
  • Cross-train and cover for team members as needed.
  • Coordinate multiple processes and procedures concurrently.
  • Provide administrative support for regulatory visits from DOH, CMS, and others.
  • Track department budget and collaborate with Finance as assigned.
  • Collaborate with Alliance Partners including Fred Hutch, University of Washington, and Seattle Children's.
  • Perform other duties as assigned.
