Acara Solutions seeks highly qualified candidates to work onsite with our client in Lake Forest, IL. Interested? As an Executive Assistant, you will report to the Manager of Administrative Services and provide interim administrative support for various leaders across the organization and their leadership teams. Support assignments will be updated on an as-needed basis. You will manage responsibilities with a high degree of responsiveness. Manage the business leaders' time through strategic and proactive calendar management and scheduling. Responsibilities may include managing invites, coordinating presentation content and handouts, recording meeting notes, action items, and audio, scheduling and launching online content, facilitating online questions from attendees during meetings, troubleshooting technical and logistical issues, and organizing follow-up activities. Be a partner to the business leader by anticipating challenges and driving recommendations for solutions and process improvements. Create team meeting agendas and facilitate meeting logistics, including ensuring that meetings are kept on track. Manage business travel logistics and ensure the leader has the necessary documentation for travel (domestic and international). Manage multiple electronic documents, including composing, modifying, proofreading, or disseminating memos, reports, PowerPoint presentations, department site updates, surveys, organizational charts, or records management. Co-manage the department's Teams and SharePoint sites. Maintain department supplies and manage associated budget; may own other department-specific processes or activities. Participate in relevant department projects. Support the onboarding and departure process for department team members. Play a key role within the Administrative Services team, including onboarding and providing backup support for other administrative business partners. Be flexible and adapt to evolving business needs. The individuals or teams you support may change as the company's priorities and objectives shift. Successful candidates will demonstrate a proactive approach to managing these transitions and collaborating with different departments or leadership as needed. Follow all current guidance regarding in-office minimum requirements, ensuring you are in the office when the business leaders you support are in the office or when business needs an in-office presence.   • High School Diploma or GED.
  • Minimum of 7 years of experience supporting senior management or C-Suite leaders.
  • Minimum of 4 years of experience managing complex administrative details.
  • Minimum of 3 years of experience improving operational efficiency.
  • An anticipatory approach.
  • Detailed knowledge of business operations, organizations, and relationships at top management levels.
  • Pay: $36/hr.
  • Hours: 40 hours/week.
