Dauphin County Prison is currently accepting applications for the full-time position of Executive Assistant. This position provides a variety of confidential administrative and support duties for the Dauphin County Prison Administration Office. This employee is responsible for but not limited to performing the following essential functions: Receives, screens, researches, and oversees the collection of records in response to Subpoenas. Composes letters, memos, bulletins and other business correspondence on behalf of the Warden, the Director of Criminal Justice, and other Prison Leadership. Answers routine telephone inquiries and correspondence. Works with the Litigation & Policy Coordinator to prepare items/issues for review by the Dauphin County Prison Board of Inspectors. Assists the Litigation & Policy Coordinator with special projects as assigned by the Warden, the Director of Criminal Justice, and/or other Prison Leadership. Assists the Litigation & Policy Coordinator with the collection of responsive records for Open Records requests associated with Dauphin County Prison. Tracks Prison Board action, prepares detailed meeting minutes, and completes projects as assigned or requested by the Board. Assists with the preparation and submission of the monthly Prison Board meeting packets. Assists with the screening, research, and drafting of submissions for various surveys. Maintains and updates records and files on various department projects and statistical information for completion of weekly, monthly, quarterly, and annual reports. Creates and distributes meeting agendas. Arranges and schedules meetings and special events. Monitors and oversees compliance with Record Retention Procedure and records storage for the facility. Maintains effective working relationships with staff, supervisors, and management from other departments and organizations. Interacts with staff, County officials, other departments, and the public on department related matters.
