About the Team At Workday, we are deeply committed to elevating human potential and making a positive impact in our communities. The philanthropy team leads our Workday Foundation grantmaking and social impact programs. About the Role Workday is looking for an Executive Assistant to support our philanthropy team. In this role, you will support the Chief Impact Officer and the philanthropy team members. We are looking for a well-organized, detail-oriented, high energy individual with a positive outlook and a proactive attitude to provide administrative and organizational support.

Requirements

  • 5+ years of executive support and/or project coordination experience
  • Basic skills working with a wide range of office applications including Outlook, Slack, Google Drive, Google Slides, Microsoft Office, Zoom and Gen AI
  • Strong, professional presence and presentation; excellent verbal and written communication skills
  • Ability to coordinate small/medium/large events with direction
  • High energy, positive attitude, and flexibility to work effectively in a fast-paced environment
  • Strong critical thinking skills with the ability to work independently and prioritize tasks with general direction and guidance
  • High attention to detail to publish meeting agendas, take, and distribute notes, and follow up on action items
  • Ability to resolve issues using relevant information
  • Strong time management skills and the ability to multitask/prioritize multiple workstreams
  • Ability to handle highly sensitive information with discretion, good judgment, confidentiality, and the utmost integrity

Responsibilities

  • Manage, prioritize, and anticipate Chief Impact Officer’s day-to-day schedule.
  • Handle scheduling for a high volume of external and internal meetings for executive and team, confirm meetings, book meeting space, organize A/V, plan refreshments and ad hoc requests as needed.
  • Seamlessly plan and book domestic and international travel, including detailed itineraries, ground transportation, and hotel accommodations. You will handle complex travel logistics, problem-solve non-routine issues, and maintain a keen awareness of time zones and global complexities.
  • Track and drive the completion of critical tasks and project milestones, following up on outstanding items to ensure deadlines are met.
  • Plan and coordinate department events, including managing all logistics from agenda preparation and catering to securing venues and inviting attendees. This will include quarterly meetings with grantees and scheduling regular check-ins with key internal and external teams and assisting with the planning and execution of the Foundation’s annual calendar of priority projects.
  • Serve as a key point of contact, expertly managing and prioritizing communication across the team, organization, and with external partners.
  • Maintain team mailboxes, support internal and external communications and presentations and provide general administrative support to the team.
  • Support preparation of reports for quarterly updates, board packets, annual audit, tax returns, and miscellaneous reporting as needed.
  • Process purchase orders, expense reports, and expenses in Workday and Workday Foundation systems and ensure spend is within budget.
