PGIM is seeking an Executive Assistant to support Investment Professionals in the the Public and Private Fixed Income business. The Executive Assistant will provide daily administrative support to both senior leaders including managing daily schedules and calendars, planning and booking travel, and administrative deliverables and projects. The successful candidate will demonstrate an ability to organize, prioritize, and collaborate effectively across the broader organization in a fast-paced environment. This role is expected to work from the Newark, NJ office 3 days a week and 2 days working remotely.

Requirements

  • 7+ years of experience providing high-level administrative support to senior executives in a complex, fast-paced environment.
  • Proven ability to anticipate needs, exercise sound judgment, and take proactive initiative.
  • Excellent organizational, prioritization, and time-management skills
  • Strong interpersonal and communication skills, with the ability to partner effectively at all levels of the organization.
  • Demonstrated ability to handle highly confidential and sensitive information with discretion.
  • Ability to work independently with minimal supervision while collaborating effectively as part of a team.
  • Highly adaptable and flexible, able to pivot quickly as priorities change.
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint).
  • Willingness to work overtime as needed.

Nice To Haves

  • Experience in Financial Services is a plus but not required!
  • Previous experience supervising or mentoring administrative staff, including task delegation, coaching, or workflow coordination.
  • Reliable self-starter with a strong work ethic, positive attitude, and consistent follow-through.
  • Experience supporting multiple senior leaders or operating within a matrixed organization
  • Demonstrated ability to act as a trusted partner to executive leadership, not just an administrative support function.

Responsibilities

  • Full responsibility for managing complex calendars that include travel and the need to coordinate meetings with senior level executives and their assistants inside and outside of the company.
  • Provide a high level of daily support, always anticipating what the principal(s) will need in advance of meetings and phone calls, including pre-reading and meeting materials.
  • Handle all travel arrangements for domestic and international trips - book flights, expense vouchers, itineraries, and logistics.
  • Answers and screens telephone calls and takes detailed messages.
  • Returns calls and initiates conference calls.
