About The Position

The Executive Assistant will support Karoo’s Executive Team by managing administrative execution, business logistics, and internal coordination, freeing company leadership to focus on strategy, growth, and care delivery. This is a highly trusted, detail-oriented role for someone who thrives in fast-paced environments, anticipates needs, and brings order to complexity. The ideal candidate is proactive, discreet, and comfortable supporting multiple executives simultaneously.

Requirements

  • 4–8+ years of experience as an Executive Assistant to company leaders, or a similar administrative role, ideally in a startup or fast-growing company.
  • Proven ability to support multiple senior leaders simultaneously.
  • Highly organized, detail-oriented, and reliable, with excellent follow-through.
  • Proactive problem-solver who anticipates needs rather than waiting for instructions.
  • Strong written and verbal communication skills.
  • Comfortable operating in ambiguity and adapting as priorities shift.

Responsibilities

  • Manage calendars, scheduling, and meeting coordination for multiple members of the Executive Team.
  • Coordinate travel arrangements, itineraries, and expense logistics.
  • Prepare meeting agendas, materials, and follow-ups as needed.
  • Serve as a reliable point of contact between executives and internal or external stakeholders.
  • Plan and execute offsites of various size and scope, team meetings, Board or Directors meetings, and company-wide events (virtual and in-person).
  • Coordinate logistics including venues, travel, agendas, materials, and on-site execution.
  • Partner with HR and Operations to support onboarding sessions, training events, and culture-building activities.
  • Identify opportunities to improve administrative processes and introduce lightweight systems to increase efficiency.
  • Create templates, checklists, and documentation to support recurring workflows.
  • Support special projects or cross-functional initiatives as needed.
  • Handle sensitive information with discretion and sound judgment.
  • Maintain a high standard of professionalism in all interactions.
