We are seeking a highly organized and proactive Executive Assistant to provide comprehensive administrative support to our executive team. The ideal candidate will excel in managing calendars, coordinating projects, and handling a variety of clerical tasks with professionalism and discretion. This role requires excellent communication skills, proficiency in office management tools, and the ability to prioritize multiple responsibilities efficiently. The Executive Assistant will play a vital role in ensuring smooth daily operations and supporting the overall success of our organization.

Requirements

  • Proven experience as an executive assistant or in a similar administrative role with strong office management skills.
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint), Google Workspace, Microsoft Outlook Calendar, and familiarity with DocuSign.
  • Excellent organizational skills with the ability to multitask effectively under tight deadlines.
  • Strong typing skills along with experience in transcription, proofreading, and data entry.
  • Knowledge of QuickBooks for bookkeeping purposes is preferred.
  • Exceptional communication skills including phone etiquette and customer service experience.
  • Ability to handle confidential information discreetly with high professionalism.
  • Experience with event planning, project coordination, calendar management, filing systems, and front desk operations is highly desirable.
  • Demonstrated computer literacy across various office software platforms along with organizational skills necessary for efficient office operations.

Responsibilities

  • Manage and maintain executive calendars, schedule appointments, and coordinate meetings using Microsoft Outlook Calendar and Google Workspace.
  • Prepare and proofread correspondence, reports, and presentations with attention to detail.
  • Coordinate travel arrangements, event planning, and logistics for business meetings or company events.
  • Handle phone inquiries with professional phone etiquette, screen calls, and direct them appropriately using multi-line phone systems.
  • Perform data entry, filing, and document management tasks to ensure accurate record-keeping.
  • Assist with bookkeeping tasks using QuickBooks and perform basic bookkeeping duties.
  • Support project coordination efforts by tracking deadlines, preparing agendas, and following up on action items.
  • Provide executive administrative support including transcription, proofreading, and managing confidential information.
  • Oversee office management duties such as front desk reception, filing systems, and supply inventory.
  • Utilize office software including Microsoft Office Suite (Word, Excel, PowerPoint) and DocuSign for electronic signatures.
  • Collaborate with team members to ensure seamless office operations and excellent customer service.
