About The Position

Under direct supervision of the Executive Administrative Assistant, the incumbent provides administrative and clerical support to the Executive Director and Pawnee Business Council. Essential Functions: 1. Provides administrative support and clerical assistance to the Executive Director and Pawnee Business Council. 2. Creates and maintains accurate hard copy and electronic files, records, and historical documents for the Pawnee Business Council and other tribal entities. 3. Responsible for composing and processing out-going correspondence, including letters, memos, reports, etc. 4. Processes all paperwork related to program support, such as Purchase Requisitions, Invoices for Payment, Travel Documents, etc. 5. Assists in the development and maintenance of an electronic repository for archived documents. 6. Responsible for ordering and tracking inventory of programmatic supplies and related materials. 7. Serves as back-up for the Executive Administrative Assistant’s job duties, by transcribing Pawnee Business Council meeting minutes and preparing them for review at the following Pawnee Business Council meeting. 8. Serves as back-up for the Receptionist’s job duties, by answering and routing phone calls, sorting and disseminating mail, providing customer service, etc. 9. Assists with preparing and compiling meeting packets for the Pawnee Business Council, Executive Director, and Committees/Commissions. 10. Contributes to a team effort and accomplishes related results as required. 11. Performs other duties, as assigned and within the scope of the position.

Requirements

  • Minimum High school diploma or GED.
  • Prefer Associate Degree in Business Administration or related field or one (1) year of business school or Vo-Technical training in Clerical Office Management or Administrative Assistance/Secretarial Science.
  • Minimum of one (1) year of clerical experience.
  • Proficiency in Microsoft applications, including Word, Excel, Outlook, Power Point, Internet Explorer, Adobe, etc.
  • Proficiency in the proper use and operation of standard office equipment (fax, copier, telephone, etc.).
  • Ability to learn Microix software system.
  • Ability to type 50 words per minute.
  • Ability to establish and maintain professional relationships with the Pawnee Business Council, Pawnee Nation employees and tribal members, as well as representatives from external agencies and Indian tribes.
  • Ability to foster team effort and cooperation with co-workers and supervisors in a professional manner.
  • Skilled in the use of business communications (proper spelling/grammar.
  • Skilled in the use of business arithmetic (accounting, etc).
  • Excellent phone skills.
  • Ability to pass a background screening.
  • Must demonstrate strong organizational skills, with the ability to prioritize.
  • Ability to meet deadlines, adapt to changing priorities, and work well under pressure.
  • Ability to effectively conduct research, analyze information, and interpret data.
  • Ability to analyze situations and adopt appropriate courses of action.
  • Must demonstrate knowledge of modern office methods, practices, and procedures.
  • Ability to maintain confidentiality.
  • Must work independently.
  • Must possess a valid Oklahoma Driver’s license and be insurable by the Pawnee Nation’s insurance carrier.

Nice To Haves
