The Executive Assistant will provide comprehensive support to key members of the Executive Committee (Exco). This role is critical to enabling executive effectiveness and shaping a collaborative office environment. The ideal candidate is organized, anticipates needs, and enjoys working within a team. They will manage complex calendars, coordinate meetings and events, arrange detailed domestic and international travel, process expense reports, and help manage office logistics. They should be comfortable managing three to four calendars at a time while proactively identifying opportunities to improve workflows and increase productivity. This role will work closely with the Chief of Staff to ensure coordination across organizations and seamless execution of priorities. Requirements

  • 5+ years’ experience as an Executive Assistant, preferably supporting the C-Suite as a team
  • Strong writing skills, ability to compose complex executive level correspondence
  • Ability to work in a fast-paced environment, while maintaining positive, team centric approach
  • Strong interpersonal skills, ability to work in high-profile environment
  • Excellent organization skills, ability to manage details accurately and multitask on a variety of assignments
  • Ability to communicate effectively with all levels of the organization
  • Ability to work flexible hours occasionally for events/catering
  • Experience taking independent initiative and exercising good judgment and decision making, and maintain confidentiality
  • Working knowledge of the Google Suite
  • Good working knowledge of MS Teams
  • Intermediate to expert knowledge of Microsoft Excel preferred

Responsibilities

  • Maintain a daily calendar of meetings and events for a team of executives
  • Organize complex calendars and schedules; resolve any scheduling issues
  • Arrange travel and accommodations for a team of executives
  • Tracks and submits expense reports for a team of executives
  • Screen incoming telephone calls; take and deliver accurate messages; respond to requesting by gathering and providing information and referring non-routine calls for the ELT to appropriate team members
  • Help to coordinate in-office and offsite meetings
  • Plan and arrange events including catering for in-office meetings
  • Document meeting actions and follow-up accordingly
  • Manage sensitive matters with a high level of confidentiality and discretion
  • Assisting with everyday office tasks
  • Other projects and duties as assigned
