The Executive Assistant Serves as the right hand to our SVP of Marketing and Senior Executives providing administrative support and acting as a gatekeeper. What You’ll Do Calendar Management: Scheduling and managing executive calendars to optimize time and prevent conflicts. This includes setting up meetings, sending reminders, and prioritizing appointments. Communication: Handling incoming and outgoing communications, such as emails, phone calls, and letters, and ensuring prompt responses. Drafting and editing correspondence as needed. Meeting Coordination: Organizing and coordinating meetings, including booking venues, preparing materials, and ensuring all logistical details are addressed. Taking minutes and distributing them post-meeting. Travel Arrangements: Planning and booking travel, including flights, accommodations, and transportation, while managing travel budgets and ensuring compliance with company policies. Document Preparation: Creating and editing documents, reports, presentations, and spreadsheets. Ensuring accuracy and professionalism in all materials. Expense Management: Tracking and processing expenses and reimbursements. Confidentiality: Maintaining discretion and confidentiality with sensitive information and internal communications.
