About The Position

Weston & Sampson is looking for a highly capable Executive Assistant in our Reading, MA office to provide high level support and keep daily operations running smoothly for the CEO & Executive leadership team. This key position involves overseeing personal calendars, arranging travel logistics, assisting with corporate initiatives and deliverables, coordinating board of director and other corporate meeting/event logistics, and creating a polished, professional experience for both executives and guests. A successful candidate will be exceptionally organized, forward-thinking, and comfortable operating in a dynamic, fast-moving environment where attention to detail is essential. What you’ll do: You will serve as a seamless Partner to the CEO, proactively identifying needs ahead of time and carrying out responsibilities with exceptional precision, confidentiality, and executive- level of professionalism.

Requirements

  • 5 years minimum of experience
  • Bachelor's degree or equivalent professional experience required.
  • Experience supporting a C-level executive.
  • Strong Proficiency in the full Microsoft suite.
  • Problem-solver who thrives in a fast-paced, growing environment.
  • Highly Organized & detailed oriented by nature.
  • Ability to remain firm, assertive, and diplomatic, including confidence to push back professional when needed.
  • Excellent written and verbal communication skills; strong organizational instincts and ability to work efficiently using AI and other software's
  • An upbeat, positive, can-do attitude.
  • Ability to work onsite in our Reading, MA office at a minimum of 3 days per week, more if needed.
  • Able to stay calm under pressure, think on your feet and anticipate needs before they arise
  • Comfortable supporting multiple executives with shifting priorities.
  • Valid Driver's License

Responsibilities

  • Manage travel arrangements, including logistics, itineraries, and coordination of accommodations.
  • Own complex calendar management, proactive planning and day-to-day prioritization for executives to keep everything running smoothly.
  • Provide executive-level support primarily to the CEO with additional support to the C Suite Executives as needed.
  • Handle professional and occasional personal tasks, always ensuring confidentiality and discretion.
  • Act as point of coordination between executives and internal/ external stakeholders.
  • Bring forward ideas, anticipate needs, solve problems proactively and elevate overall executive efficiency.
  • Maintain structure and processes that help executives stay organized and prepared.
  • Ensure internal communication, document preparation, and meeting materials are completed accurately and on time.
  • Coordinate logistics related to the quarterly board of director meetings, including meals, travel for outside/inside directors, transportation to meals, special projects, events, additional board needs including expense reports for outside directors, and high level administrative functions.
