About The Position

The Middle East Institute is seeking an Executive Assistant to provide administrative and operational support to the Chief of Staff and the Executive Office. The position is suited for an individual who thrives in a fast-paced, mission-driven organization and seeks experience in administrative operations. The Executive Assistant will manage a range of administrative tasks, including expense management, scheduling, record management, Salesforce support, and task coordination and follow-up across departments. The position requires professionalism, discretion, strong attention to detail, and the ability to work independently with minimal supervision.

Requirements

  • Bachelor’s degree or equivalent professional experience preferred.
  • Strong proficiency in Microsoft Office, particularly Excel and Word (data tracking, spreadsheets, reporting).
  • Excellent written and verbal communication skills; professional telephone etiquette required.
  • Strong organizational skills with keen attention to detail.
  • Ability to manage multiple tasks, meet deadlines, and follow up independently.
  • Discretion and professionalism when handling confidential and sensitive information.
  • Ability to work independently with minimal supervision while collaborating effectively as part of a team.

Nice To Haves

  • Interest in international affairs, public policy, or nonprofit administration is a plus.

Responsibilities

  • Provide day-to-day administrative support to the Chief of Staff and Executive Office.
  • Manage expense reports for the CEO, COO and VP of outreach.
  • Assist with scheduling, meeting preparation, and logistical coordination as needed.
  • Prepare, distribute, and track official communications (emails, letters, and memoranda), ensuring timely follow-up and accurate documentation.
  • Maintain databases and contact lists in Salesforce, tracking responses and outstanding follow-ups for executive initiatives and institutional priorities.
  • Coordinate with internal departments, including Events, Development, Policy, and the Executive Office, to facilitate information flow and task completion.
  • Support tracking and reconciliation of responses to executive requests, ensuring completion and compliance with internal processes.
  • Communicate professionally with external stakeholders, partners, and constituents on behalf of the Executive Office.
  • Perform general administrative duties, including filing, scanning, mailing, and document management.
  • Undertake special projects and additional administrative tasks assigned.
