About The Position

The Staff Pad has partnered with a growing organization to identify a highly skilled Executive Assistant to support senior leadership. This role is critical in ensuring seamless day-to-day operations for the executive team while serving as a key liaison across internal departments, clients, and external partners. The ideal candidate is proactive, highly organized, and thrives in a fast-paced environment—someone who anticipates needs, protects executive priorities, and operates with a high level of professionalism and discretion.

Requirements

  • 5+ years of experience supporting executives or senior leadership (Chief of Staff or similar experience a plus)
  • Advanced proficiency in Microsoft Outlook and Microsoft Teams
  • Proven ability to manage multiple high-priority tasks in a fast-paced environment
  • Strong experience with travel coordination and event planning
  • Excellent written and verbal communication skills with strong interpersonal judgment
  • Highly proactive, detail-oriented, and solutions-driven mindset
  • Ability to maintain confidentiality and handle sensitive information with discretion

  • Experience in construction, real estate development, or high-growth environments preferred

Responsibilities

  • Manage and optimize executive calendars, including scheduling, conflict resolution, and prioritization of time
  • Serve as the primary gatekeeper for executive communications, triaging emails, meeting requests, and inquiries
  • Act as a technology liaison, supporting Microsoft Outlook and Teams workflows, file organization, and meeting coordination
  • Coordinate complex travel arrangements, including flights, accommodations, transportation, and detailed itineraries
  • Plan and execute company events, leadership meetings, off-sites, and client engagements
  • Assess competing priorities and make recommendations on urgency, delegation, or deferral
  • Develop and document processes and standard operating procedures to improve efficiency
  • Prepare executive-level materials including presentations, reports, meeting agendas, and correspondence
  • Attend meetings as needed to capture action items, track follow-ups, and ensure accountability
  • Manage vendor relationships, expense reporting, and procurement activities related to executive operations
  • Maintain strict confidentiality of sensitive business, financial, and personnel information
  • Monitor key projects and commitments to ensure leadership is informed and prepared
