Summary: The Executive Assistant to provide administrative assistance to the WIP Project Administrator, Administrative Officer, Supervisory Irrigation System Manager, Supervisory Irrigation Maintenance Specialist, and WIP employees.

Requirements

  • Skill in operating a computer and word processor
  • Knowledge in English, Grammar, Spelling, required format and technical terminology
  • Knowledge of technical report formats
  • Skill in operation of calculators
  • Ability to be trained in order to operate equipment as requested by supervisor.
  • Ability to work with Agency IT Coordinator and receive oral instructions on new programs for receiving and transmitting computer data
  • Full knowledge of and proficiency of clerical skills used by the office
  • Skill in use of judgment and tact with respect to information may be given out in response to calls from within the Bureau, Department, other government agencies, Congressional offices and the general public
  • Ability to compose memoranda and reports pertaining to the various activities of the office
  • Knowledge of the duties, priorities, commitments, policies and program goals of the staff sufficient to perform assignments such as reviewing publications, directives and other materials which may affect the branch and taking appropriate follow-up action; and to anticipate and prepare materials that supervisors need in order to respond to correspondence or phone calls
  • Knowledge of the substantive programs of the Puget Sound Agency as related to the clerical and administrative support functions
  • Knowledge and skill to coordinate the work of the office with other offices, including advising clerks in the office on new procedures or regulations and on information to be provided for use in conferences or reports
  • Knowledge of or ability to learn General Assistance policies in order to assist clients with applications and monitor individual cases
  • High School Diploma or GED
  • At least 4-5 year of administrative, clerical, or office support experience in a professional office environment
  • Demonstrated experience handling phones, correspondence, and routine administrative tasks
  • Knowledge of office management systems and procedures
  • Working knowledge of office equipment, like printers and fax machines
  • Proficiency in MS Office (MS Excel and MS PowerPoint, in particular)
  • Excellent time management skills and the ability to prioritize work
  • Attention to detail and problem-solving skills
  • Excellent written and verbal communication skills
  • Strong organizational skills with the ability to multi-task
  • Ability to pass a government background check or have a public trust, non- sensitive, moderate risk clearance
  • U.S. Citizen
  • Ability to travel if needed

Responsibilities

  • Schedule appointments with key partners, internal and external customers. Maintain appointment calendars for Project Administrator
  • Analyze data and prepare basic Excel spreadsheets including for budget income-expense reports: utilization and working with FBMS
  • Assist with gathering information on departmental policies and procedures in response to inquiries and complaints. Tracking and following up on WIP and bureau requests
  • Type, proofread and process a variety of documents including general correspondence, agendas, memos, and statistical charts from rough draft
  • Perform a wide variety of general clerical work including the maintenance of accurate and detailed records and files, function as receptionist for calls coming into the main agency phone number, verifying accuracy of information, researching discrepancies, and recording information
  • Initiate and maintain a variety of records and files for information and data related to area of responsibility. This may include personnel and maintenance and operations data and information
  • Schedule appointments, meetings, and various other departmental activities. Act as a coordinator for agency meetings, maintain schedule of conference room use, prepare materials, post public hearing notices, take minutes and assist with online technical support
  • Resolves problems associated with the administration and clerical support services of the office and provides assistance to the Project Administrator and or administrative staff
  • Receives and screens inquiries by telephone or personal visitors and directs to the Project Administrator those contacts needing attention or action
  • Resolves and/or answers routine inquiries of the program and/or operations
  • Ability to input Purchase Request information into the department financial system
  • Perform other as duties needed
