Exact Solar is a growing solar company with a main office located in Bucks County, PA. We are seeking a highly capable Executive Assistant to provide direct support to our CEO, helping manage day-to-day tasks, priorities, and communications to ensure smooth and efficient operations. Our main office is in Newtown, PA, however, there is a small office location in Philadelphia that will be utilized for this position to work closely with the CEO. Position Overview The Executive Assistant will serve as a trusted partner to the CEO, handling administrative, organizational, and communication-related responsibilities. This role requires exceptional attention to detail, discretion, and the ability to anticipate needs in a fast-paced environment. The position is part-time initially, with the opportunity to become full-time based on performance and company needs.

  • Provide day-to-day administrative and organizational support to the CEO
  • Manage and organize the CEO’s inbox, including drafting and mirroring email communications
  • Track tasks, deadlines, and follow-ups to ensure open items are completed in a timely manner
  • Create and maintain daily priority lists and action plans
  • Manage the CEO’s calendar, including scheduling meetings, calls, and appointments
  • Coordinate travel arrangements and meeting logistics as needed
  • Act as a point of contact between the CEO and internal/external stakeholders
  • Maintain confidentiality and exercise discretion when handling sensitive information
  • Proactively identify opportunities to improve workflows, organization, and efficiency
  • Prior experience as an Executive Assistant supporting a C-suite executive or business owner
  • Strong organizational and time management skills with the ability to manage multiple priorities
  • Proven experience managing inboxes, calendars, and executive-level communications
  • Ability to mirror tone and style in written communications
  • High level of attention to detail and follow-through
  • Proactive self-starter who requires minimal oversight
  • Positive attitude with a strong sense of responsibility and ownership
  • Excellent written and verbal communication skills
  • Strong problem-solving and adaptability in a dynamic environment
  • High level of discretion and professionalism
  • Tech-savvy with proficiency in Microsoft Office, Google Workspace, and similar tools
