About The Position

We are hiring an Executive Assistant to support the CEO & COO of Akoya. The Executive Assistant to the C-Suite is a high-impact, 6-month temporary-to-hire role providing senior-level administrative, operational, and strategic support to the CEO & COO. This position is ideal for a highly organized, proactive professional who thrives in a fast-paced environment and is interested in the opportunity to transition into a permanent role based on performance and business needs. The Executive Assistant supporting the CEO & COO will be responsible for the following duties:

Requirements

  • Bachelor’s degree required
  • 3+ years of experience as an Executive Assistant or similar role supporting senior executives
  • Exceptional organizational, time-management, and multitasking skills
  • Strong written and verbal communication skills
  • High level of professionalism, confidentiality, integrity, and discretion
  • Proficiency with Microsoft Office, Google Workspace, and scheduling tools
  • Excited by a fast-paced environment
  • Must be located in commuting distance of Pittsburgh or Washington D.C.

Nice To Haves

  • Experience supporting a company president, CEO, or C-suite executive
  • Experience in federal consulting is a plus
  • Project management or operations experience is a plus

Responsibilities

  • Manage complex, fast-changing calendars.
  • Assist with scheduling and managing meetings, booking travel, etc.
  • Prepare agendas, briefing materials, take high-level notes, and track action items
  • Flag important deadlines for things at risk
  • Delegate or escalate tasks depending on the urgency
  • Manage the daily schedules, ensuring meetings are being attended and updates to the schedule are sent to leadership as needed
  • Facilitate cross-functional collaboration by coordinating schedules and priorities
  • Coordinate executive-level projects, track deadlines, and follow up on action items
  • Draft, review, and manage email correspondence on behalf of the CEO & COO
  • Coordinate personal administrative tasks, such as scheduling personal appointments and arranging orders for personal items.
  • Manage daily timesheets, expense reports, and administrative tracking
  • Maintain organized filing systems (digital and physical)
  • Identify opportunities to improve processes, efficiency, and workflows
  • Represent the CEO & COO professionally in meetings and communications
