About The Position

The Executive Assistant provides high-level, confidential administrative support to a Band 1 executive within Investment Banking. This role requires exceptional organizational skills, strong judgment, and the ability to manage multiple complex priorities in a fast‑paced environment. The individual will coordinate executive schedules, manage communications, handle sensitive information, and serve as a liaison to internal and external stakeholders.

Requirements

  • Minimum of 5 years of administrative or business support experience
  • Strong organizational skills and ability to multitask with limited supervision
  • Excellent attention to detail and ability to work under pressure
  • Strong communication skills—listening, verbal, and written
  • Analytical thinking, problem‑solving skills, and sound judgment
  • Ability to work with senior executives and maintain strict confidentiality
  • Proficiency in managing calendars and using Microsoft Office (PowerPoint, Word, Excel, Outlook)
  • Adaptability to shifting priorities and fast‑paced environments

Nice To Haves

  • Experience with Concur and Ariba systems
  • Familiarity with internal technology ordering platforms
  • Knowledge of ACR systems

Responsibilities

  • Provide confidential, high‑touch administrative support to senior Investment Banking executives, including managing complex calendars and coordinating meetings across global time zones.
  • Prepare agendas, materials, briefings, and reports; gather and synthesize information for executive decision‑making.
  • Coordinate complex domestic and international travel, create detailed itineraries, and manage last-minute changes.
  • Serve as a liaison to clients, senior leaders, and external partners, exercising tact, diplomacy, and sound judgment.
  • Handle confidential information and sensitive matters with discretion while managing multiple competing priorities.
  • Process expenses (Concur or similar) and ensure compliance with firm policies, and support operational needs to enhance executive efficiency.
