About The Position

The Executive Assistant is primarily responsible for delivering high-level administrative support. Key responsibilities include planning and scheduling meetings and appointments, organizing and maintaining both paper and electronic files, managing special projects, conducting research, and gathering information through phone calls, mail services, websites, and email. All tasks are carried out in alignment with departmental guest service standards and in accordance with MGM Resorts International policies, procedures, and practices. Provide proactive, efficient, and comprehensive administrative support to the department head, ensuring seamless daily operations. Answer incoming calls using professional phone etiquette; screen and route calls appropriately, assisting callers when possible and maintaining confidentiality at all times. Offer general office support to team members as needed, including clerical tasks and ad hoc assistance. Draft, type, and format documents including correspondence, presentations, forms, and reports. Schedule, coordinate, and confirm meetings, conference calls, and calendar appointments. Manage domestic and international travel arrangements from start to finish, including flight and hotel bookings, ground transportation, passport and visa processing, and itinerary planning. Use sound judgment to handle or triage issues, effectively relieving the Executive of routine or time-consuming tasks. Maintain and organize confidential records and sensitive information in both digital and physical formats. Oversee a high volume of email correspondence by managing inbox priorities, archiving, flagging action items, and retrieving messages as needed. Track, reconcile, and submit expense reports and reimbursement items accurately and on time. Regularly update and maintain the Executive’s database of business contacts, ensuring accuracy and completeness.

Requirements

  • High School Diploma, GED, or equivalent
  • Minimum of 2 years of prior relevant experience as an Executive Assistant or in a similar administrative support role
  • Proven track record of supporting senior leadership in a fast-paced environment
  • Willing and able to work varied shifts, including weekends and holidays, as required by business needs
  • Working knowledge of the Cliqbook/Concur travel system for coordinating domestic and international travel
  • Experienced in using the Infor Expense Management system or similar platforms for processing and reconciling expenses
  • Proficiency in Microsoft Office Suite, particularly Word, Excel, Outlook, and PowerPoint
  • Strong communication skills, both verbal and written
  • Exceptional organizational abilities and attention to detail
  • Ability to manage sensitive and confidential information with discretion
