About The Position

Downtown Honolulu, at the New Zealand Consulate-General in Hawai’i. Providing high-level support to senior leaders, Monday to Friday, 37.5 hours per week. Professional identity advocating Aotearoa New Zealand’s diplomatic presence in the North Pacific. You will be a trusted partner with senior leaders, managing schedules, coordinating travel, and ensuring smooth day-to-day operations at Post. Your discretion, initiative, and attention to detail will be key to keeping things running seamlessly. You will support financial processes including monthly reconciliation, coding, tracking spending, and budget reporting. Using systems like Oracle, you can ensure financial accuracy, transparency, and accountability at Post. Your attention to detail and understanding of financial workflows will be key to supporting informed decision-making. You will play a role in supporting individuals who need assistance, including vulnerable members of our community. Whether it’s helping someone navigate a complex situation or expanding our support network, your empathy and professionalism will shine. From high-level meetings to regional events, you will take the lead on planning, logistics, and execution. You will ensure every detail is covered, creating experiences that reflect Ministry values and our mission at Post. The Consulate recognises the deep ties between Aotearoa and Hawai‘i. Candidates are encouraged to demonstrate experience with te ao Māori (Māori worldview) or ka wā kahiko (traditional Hawaiian perspectives), or a desire to learn in this space.

Requirements

  • Executive Support Experience
  • Proven ability to provide high-level administrative support to senior executives. This experience can include calendar management, travel coordination, meeting preparation, and confidential correspondence. Demonstrated discretion, professionalism, and proactive problem-solving in a fast-paced environment.
  • Event Management
  • Background in planning and executing events ranging from small meetings to large-scale functions. Capable of managing logistics, supplier coordination, budgeting, and on-site support to ensure seamless delivery and positive attendee experiences.
